Background & Overview

OASIS V3 is not the same as OASIS Next Gen. 

The decision was made to utilize commercially available software and simplify the technology while adding new functionality. As much of the hyper-custom nature of Next Gen as could be was preserved. However, many areas have been simplified or otherwise changed to support a long-term future for the industry. OASIS V3 brings powerful audit and certification technology and data access. Because it was neither cost-effective nor viable to build from scratch we have endeavored to focus on core needs and very purposefully not a 1 to 1 replacement. OASIS V3 is an audit toolset that has been adapted for IAQG needs and will continue to evolve after stabilization in 2023. 

This is a Transfer from system to system so that IAQG has better options moving forward. This means that the first launch is about stabilization and subsequent revisions will be about improvements, functionality and data insights. Therefore, you will see and experience very different look, feel and functionality. In some cases you may be able to do much more and in others slightly less but on balance, the system will serve you for decades. With this critical base platform, we can then expand to offline audits, data analysis, and greater functionality already inherent to the Intact Platform and other elements unique to IAQG.

Changes, differences and known issues:

  • OASIS V3 is entity based. Audits and other work come from an entity. Audits are not their own items irrespective of the company they are connected to. This changes many structural elements. The previous OASIS was form and document-based and designed starting with the forms.

    OASIS V3 is based on audits and data with the ability to generate reports. It is not intended to function as a one-to-one copy of or reflection of paper forms. Therefore, some data elements will appear in different places or formats. Outbound reports and generated documents can therefore take a variety of formats. This gives flexibility to the organization.
  • Data migration efforts have been immense and far-reaching. It is expected that some data may be missing or may be categorized in new ways. In some cases, precise one-to-one matches were or are not available for some categories. We have done absolutely everything to support the best data migration possible. However, some areas will require you to spot-check and/or modify statuses or other elements to make them correct.

    After a heroic effort, we are at approximately 90%. Therefore, it is in the best interest of all involved to move forward and allow day-to-day work and time to massage the remaining information into an appropriate shape. For example, NCRs in the former system are not clearly categorized by status. We can infer but not guarantee that the status of an NCR is perfectly correct. Therefore, you may need to modify the workflow status of NCRs that are not correct.

    We will work on these issues as quickly as possible. There is some indication that some audits may be missing. It is possible that some audits or other work is more efficient to re-produce than await re-migration. Those audits that were new, early or otherwise not under significant prior effort may be best to start fresh in the new system.
  • Missing Audits: Before you assume an audit is missing please check all your filters and make sure you are in the audit/review portal for auditor/reviewer and CB portal for CBs. A statistically small but important number of audits escaped initial migration and are being backfilled with around-the-clock work. In general, these are audits that were very early in the process of being created and set up, or had progressed but not very far, or had various blank values in processes. Audits created but that had no sites entered are not migratable and therefore will not appear in the system. There are very few of these and they are not believed to be substantive in terms of content. Other audits, that were created from another audit or process that was subsequently canceled or deleted, created a category of "child audits". A few of these were not captured initially. A conclusive list has been established and they are being entered now. We expect them in a matter of days. CBs will be contacted directly. 
  • ADC calculations and migrated ADC data: In OASIS V3 audit duration is calculated using spreadsheets as we support the transition to OCAP. As OCAP is new and may be subject to revision it was not cost-effective to build an entire application. Similarly, as ADC was sunsetting, it was not cost-effective to build a data repository for these data.  Therefore, we have established a nuanced ADC and OCAP tool that may used and should be attached to audits. They are available within OASIS V3 Files.
    • Finding and migrating ADC data: If you need to review an ADC calculation, utilize OASIS NG. To make OASIS V3 the final record for all data we will ultimately move ADC information to OASIS V3. 
  • Rights and roles have been dramatically simplified to a relatively few sets of roles within each kind of operation.
  • Users and logins: users with highly specialized and complicated overlapping roles will now have multiple logins for those roles that are non-compatible with each other. This is less convenient to some degree but it radically reduces complexities in the system and costs while making the system simpler for others. This means that you will not see certain data elements if you are logged in with a role that is incompatible with that function. It also allows for greater separation of functions when working with a company in one setting and independently or within the IAQG in another. 
  • NCRs are not visible to entities while they are being written. They must be proactively sent to them using the execute/sign functionality. This allows the auditor the luxury of writing, refining and finalizing their NCR before sending it to the supplier. 
  • Portals: Different users have portals in their main menu. Within portals is a filter framework with helpful filters. These are modifiable and you can create your own. If you don’t find something you’re looking for, try the filters.
    Grids are sortable, modifiable to your liking, and have inline on-the-fly filtering.
  • How NCRs and Audits Work: At their core both Audits and NCRs are workflow-based. They progress through a series of stages and statuses to support clarity, visibility and other functions.
    In general, back office personnel may review audits and NCRs in progress in their portals.

NCR Stages

Meaning

Non-Conformity Created

NCR is in draft. Only visible by back office/auditor etc. Only editable by auditor.

NCRs may be pushed to the customer via the workflow tool in the top right of the open NCR.

Corrective action requested

NCR has been sent to supplier for response. Not edited by auditor. Supplier must edit and send back to be responded to. Auditor can see data at this point as its entered.

Corrective action submitted

Supplier has responded to the NCR. Auditor may now review, edit etc.

Auditor can now enter sign off/approval and close or send back for additional information etc.

This is the point where sign off and approval information should be entered by the auditor. NCR remains open until moved to the final stage

Non-Conformity Closed

NCR is closed and no longer edited by either party.

 

 FAQs

How do I get started?

You have received instructions from IAQG about how to reset and/or create your login. Most users may simply use the forgot password functionality with their user name or OIN. If you do not know this you can look it up in the legacy system.

FOR USERS WITH MORE THAN ONE ROLE: these include OP Assessors and Member Representatives or other similar multiple functions within the IAQG and OASIS framework. You will receive a specific email or emails directly to you and FOR YOU ONLY. These are specific for creating each of your logins for your respective roles. Please do not forward these to other users.

What if I’m connected to a company I used to be or something else?

We have found that many users have many profiles and logins within the IAQG system. Sometimes tied to the same email and sometimes not. In some cases, these logins are no longer used but the connection to the company and user permissions are in fact still in place.

Please double-check in OASIS which user name you’re trying to utilize and use forgot password using that OIN and Username. Do not use your email for this. As you establish your new credentials please be very sure which user name and OIN you are utilizing.

Where is my audit/NCR etc.?

First, have you checked all your filters and possible stages in the Audit Portal? Are you logged in as a user that should see these items (not with a different role)?

Something Doesn’t Work?

Are you sure? You may be right but we recommend reviewing the pertinent section of the appropriate manual. Secondarily, different is not wrong or not working. It may be that the functionality and process have shifted slightly but the core outcome is largely the same. If you have a feature request or adjustment suggestion, please submit this via the helpdesk too.

How do I enter Processes?

The audit workflow starts with audit processes being entered in the Process List subtab of the Preparation step. Once entered these give you the ability to raise PEARS against them. You choose each process in the Audit Area and can answer the checklist in regards to each process.
